Privacy Policy

1. About this policy

The Listening Space is committed to treating your personal information with care, respect and transparency. This Privacy Policy explains what information I collect, why I collect it, how I use and protect it, and the choices you have about your information. The Listening Space is created and operated by:

I am responsible for the personal information collected and used through The Listening Space.

2. What information I collect

The information I collect depends on how you use The Listening Space. If you visit the website, join a mailing list, contact me or book a Listening Conversation, I may collect information such as:

  • your name and email address;
  • information you provide when contacting me;
  • your communication preferences;
  • appointment and booking information; and
  • limited technical information generated through your use of the website.

If you take part in a Listening Conversation, I may also hold:

  • information you choose to share during our conversation;
  • a written transcript, where you have agreed to transcription;
  • draft and approved versions of your Story;
  • correspondence about your Story; and
  • a record of the choices and permissions you have given.

Listening Conversations are not video or audio recorded. Because people may talk about difficult workplace experiences, the information you choose to share may sometimes be particularly personal or sensitive. You are always free to decide what you do and do not wish to share.

3. Listening Conversations and your Story

Taking part in a Listening Conversation does not mean that your conversation will automatically become a Story. With your permission, Zoom's transcription feature may be used to create a written transcript of our conversation. You can choose not to have the conversation transcribed. If a Story is created, you will see it before anyone else does. You can ask for amendments and decide whether or not you want it to be published.

Nothing is published in The Listening Space without your approval.

Your choices about transcription, creating a Story, publishing your Story and retaining your source material for future research and writing are made separately.

4. Anonymising your Story

Your original conversation and transcript may contain information that identifies you or other people. Before a Story is published, identifying details are removed or changed. This may include names, organisations, locations, dates, roles or other details that could identify you or the people involved. The intention is that someone listening to a published Story should not be able to identify you from it. The original transcript and source material are kept separately from the published anonymised Story and are treated as private personal information.

5. Research and future writing

The Listening Space is also intended to contribute to a wider body of learning about women's experiences of workplace harm.

If you give separate permission, your original transcript and source material may be retained securely as part of The Listening Space research archive and used to inform future research and writing, including a potential book.

You do not have to agree to this for your anonymised Story to be published in The Listening Space.

Research and writing may also draw together themes, patterns and insights from different Stories. Where material has been genuinely anonymised so that it can no longer be linked to you, it may be retained and used independently of your original source material.

6. How your information is used

I only use personal information where I have an appropriate reason to do so. Depending on how you interact with The Listening Space, this may include:

  • responding to something you have asked me;
  • arranging and administering a Listening Conversation;
  • transcribing a conversation where you have agreed to this;
  • creating and publishing a Story where you have given the relevant permissions;
  • retaining source material for research and future writing where you have separately agreed to this;
  • sending new Story notifications or Authority Notes where you have subscribed to receive them;
  • maintaining appropriate records of your choices and permissions; and
  • operating, protecting and maintaining The Listening Space website.

Where I rely on your consent for a particular use of your information, you can withdraw that consent.

7. How your information is stored and protected

I take appropriate steps to keep personal information secure. Original transcripts and Story source material are stored securely and protected by encryption. Access to this material is restricted.

I will not sell your personal information or share your original transcript or Story source material with other people for their own purposes.

Some information is necessarily processed by third-party services I use to operate The Listening Space, including website hosting and database services, secure audio hosting, appointment booking, Zoom and transcription, and email and mailing-list services such as Flodesk.

These providers process information only as necessary to provide their respective services and are subject to their own data-protection and security obligations.

8. How long I keep your information

I keep personal information only for as long as it is needed for the purpose for which it was collected or where I need to retain it for legal or administrative reasons.

If you have separately agreed to your original transcript and source material becoming part of The Listening Space research archive, it may be retained for the life of the research project unless you withdraw that permission.

Information that has been genuinely anonymised so that it can no longer be linked to you may be retained independently of your original personal information.

9. Changing your mind

You remain in control of your Story.

You can ask for a published Story to be removed from The Listening Space at any time.

You can also withdraw your permission for your original transcript and source material to be retained in The Listening Space research archive. If you do, I will stop using that material for future research and writing and delete your original source material where appropriate.

Withdrawing permission cannot undo research, analysis or published writing that has already been created from material that has been genuinely anonymised and can no longer be linked to you.

If you have subscribed to emails from The Listening Space, you can unsubscribe at any time.

10. AI and your information

AI tools may be used to support the development and administration of The Listening Space. Your identifiable Listening Conversation transcript or other private source material will not be uploaded to public generative AI tools.

AI will not be used to make decisions about you, interpret the validity of your experience, or determine whether your Story should be published.

11. Your rights

Data-protection law gives you rights over your personal information. Depending on the circumstances, these can include the right to:

  • ask what personal information I hold about you and receive a copy;
  • ask me to correct information that is inaccurate;
  • ask for your personal information to be deleted;
  • ask me to restrict or stop certain uses of your information;
  • object to certain ways your information is being used; and
  • withdraw consent where you have previously given it.

Not every right applies in every circumstance, but if you have a question or want to make a request, please contact me.

12. Cookies and other services

The Listening Space uses a small number of cookies and similar technologies to operate the website and provide its services.

These may include browser storage used by Supabase to support website functionality and third-party technologies used by Flodesk to provide the email signup forms on the Follow & Connect page. The website may also collect basic statistical information through its hosting platform to help understand how the site is being used.

The Listening Space does not currently use advertising cookies, behavioural profiling, Meta Pixel, Google Analytics or similar advertising-tracking technologies.

Some links from The Listening Space take you to external services, such as Acuity Scheduling. When you visit an external website or service, its own privacy and cookie policies apply.

Where consent is required for the use of non-essential cookies or similar technologies, you will be given an appropriate choice. You can also manage cookies and other stored information through your browser settings.

The technologies used by The Listening Space may change as the project develops. This Privacy Policy will be updated where necessary to reflect any significant changes.

14. Changes to this policy

I may update this Privacy Policy if The Listening Space develops, the services I use change or the law requires it. The most recent version will always be available on The Listening Space website, together with the date it was last updated.
